What the Guldstreet Standard means for your shipment

The Guldstreet Standard is the documentation package we build for every shipment we handle, from a single 55-gallon barrel to a full container of vehicles or heavy equipment. It answers three questions in writing: what was shipped, when it moved, and on what terms. Nothing about your cargo is left to memory or a phone call. If you are shipping from New York, New Jersey, Pennsylvania, DC or Delaware to Ghana, the Standard is the reason you can track your shipment and resolve questions without guesswork.

This guide explains each document in the chain, what you receive, and when. It also covers the regulatory documents that Ghana and the United States require, including the GS 4510 pre-shipment inspection for used vehicles from October 1, 2026, and the Ghana Shippers' Authority registration required before ICUMS processing under Act 1122, enforced from August 2026.

The booking record: your first document

Every shipment starts with a written booking record. When you contact Guldstreet Shipping, we confirm the items, the pickup address, the destination in Ghana, and the price in writing before any deposit is taken. For barrel and box shipments, the booking record lists each item and its rate. For vehicles, heavy equipment and containers from the USA and Canada, the booking record states that the shipment is quoted per job in writing, and it identifies what the quote includes and excludes.

A 30% deposit confirms a pickup. Deposits are accepted by Zelle, Cash App, bank transfer or card. We do not accept cash for deposits. Every invoice shows a card or PayPal price and a 3% lower non-card price. Non-card payment options are Zelle, Cash App, bank transfer, or cash to the driver at pickup for barrel and box shipments only. We do not accept cash for vehicles, heavy equipment, containers or commercial cargo, though card payments are welcome for those.

The booking record is the document you return to if a question comes up later. It is the baseline against which the rest of the file is checked.

Pickup documentation and the condition record

For barrel, box, tote, suitcase and personal effects shipments, we offer door-to-door pickup across New York City, New Jersey and Philadelphia, with service extending to the wider New York, New Jersey, Pennsylvania, DC and Delaware area. At pickup, the driver records what was collected, the number of pieces, and the condition of each item. If a barrel is dented or a box is crushed before it leaves your door, that is noted at pickup, not after arrival.

For vehicles and heavy equipment, the condition record is more detailed. We note the make, model, year, color, mileage where available, and visible condition. This record travels with the shipment file. It matters because Ghana's used vehicle rules are strict. From October 1, 2026, used vehicles must pass a GS 4510 pre-shipment inspection with a Certificate of Conformity and may not be more than 15 years old. Flood, fire, rebuilt and salvage vehicles are barred. Right-hand-drive vehicles are admitted only under a regulated conversion framework still being set up. A clear condition record at pickup helps confirm the vehicle presented for inspection is the vehicle that was booked.

The inspection file: GS 4510 and the Certificate of Conformity

The GS 4510 pre-shipment inspection is a Ghana requirement for used vehicles, enforced from October 1, 2026. The inspection produces a Certificate of Conformity, which is part of the vehicle's import file. We coordinate the inspection as part of the shipment process and keep the certificate with the rest of the documents. The inspection confirms the vehicle meets Ghana's standards, including the age limit and the exclusion of flood, fire, rebuilt and salvage vehicles.

For USA and Canada vehicle shipments, the quote is per job in writing. Car quotes exclude inland transport and every service before the car reaches our warehouse, the GS 4510 inspection, and Ghana duties and port charges. The inspection file is separate from the freight quote, and we identify it clearly so there is no confusion about what is included.

For China to Ghana vehicle shipments, we handle fuel and hybrid HEV vehicles only, with valid export documentation. Rates are published for those vehicles. If export documentation is not available, there is an additional charge per vehicle. The documentation file for a China-origin vehicle includes the export documents, the booking record, and the inspection paperwork where applicable.

Export documentation: what the United States requires

For vehicles exported from the United States, U.S. Customs and Border Protection needs vehicle title documents at least 72 hours before export. This is a hard requirement, and it is one of the reasons we ask for title documents early in the process. The title document is checked against the booking record and the condition record so the vehicle identity is consistent across the file.

For barrel, box and personal effects shipments, the export documentation is simpler, but it still exists. We prepare the shipping documents that accompany the cargo, and we keep copies in the shipment file. If you are shipping from the New York, New Jersey, Pennsylvania, DC or Delaware area, we can collect documents at pickup or receive them electronically.

For commodities shipments, we work with licensed exporters and importers moving soft and hard commodities between Ghana, Nigeria, Cote d'Ivoire, Togo, Burkina Faso and the USA, plus bulk food staples and building materials into Ghana. Those shipments are quoted per shipment, and the documentation set is built around the licensing and customs requirements of the specific commodity. We do not handle gold, silver, diamonds or precious stones, crude oil, LNG or refined petroleum, or live animals.

Ghana import documentation: registration, ICUMS and the PUBD

On the Ghana side, the documentation chain begins before the cargo arrives. Ghana Shippers' Authority registration is required before ICUMS processing under Act 1122, enforced from August 2026. ICUMS is Ghana's single window for customs clearance, and registration is a prerequisite. We confirm that registration is in place as part of the import file.

The PUBD, or proforma and final customs declaration, is filed on arrival or within 48 hours. This is a time-sensitive document, and it is one reason we keep the shipment file complete before the vessel arrives. The PUBD draws on the booking record, the invoice, the packing list and the inspection documents.

Ghana's 2026 VAT reform set a single effective VAT rate of 20% including NHIL and GETFund. This applies to the import file, and it is stated on the customs documents. Used fridges, freezers and air conditioners are banned from import, so those items are not accepted for shipment. For anything else regulatory, confirm with the agency or a licensed customs house agent. We keep the file complete so your agent has what they need.

What the barrel price includes, and what the file shows

The barrel price to Ghana includes door pickup in NYC, NJ and Philadelphia, ocean freight to Tema, customs clearance at Tema, Ghana import duties on personal effects, and door delivery in Accra and Tema. Delivery to other Ghana cities such as Kumasi or Takoradi is quoted separately before booking. The shipment file shows each of these elements so you can see what was covered and what was quoted separately.

Last mile delivery is quoted per delivery. We collect from Tema, Takoradi, Kotoka cargo terminal or consolidator warehouses and deliver anywhere in Ghana, including cargo shipped by other companies. We also handle local pickup and delivery across NYC, NJ and Philadelphia. Each delivery is documented with the collection point, the delivery address, and the condition of the cargo at handover.

A practical checklist for your shipment file

Use this checklist to keep your side of the file complete. It applies whether you are shipping one barrel from New Jersey or a container of trucks from Delaware.

  • Confirm the booking record in writing before paying a deposit. Check the items, addresses and price.
  • Pay the 30% deposit by Zelle, Cash App, bank transfer or card. No cash for deposits.
  • Keep the invoice showing the card or PayPal price and the 3% lower non-card price.
  • For vehicles, provide title documents at least 72 hours before export for U.S. CBP.
  • For used vehicles to Ghana, confirm the GS 4510 pre-shipment inspection and Certificate of Conformity are in the file.
  • Confirm Ghana Shippers' Authority registration is in place before ICUMS processing.
  • Keep the condition record from pickup. Compare it with the condition at delivery.

How we handle questions and changes

If something changes after booking, the file is updated and the change is confirmed in writing. If a pickup address changes, if an item is added, or if a vehicle is substituted, the booking record is revised. For vehicles, a substitution can affect the GS 4510 inspection and the title documents, so it is handled before the vehicle reaches the warehouse.

We do not state transit times, sailing times, clearance times or delivery times in days or weeks. The vessel and estimated arrival are confirmed when cargo sails. That confirmation is part of the file, and it is the point at which the ocean leg becomes definite. Before that, the schedule is an estimate.

If a document is missing, we tell you what is missing and what it affects. A missing title document affects export. A missing Ghana Shippers' Authority registration affects ICUMS processing. A missing inspection certificate affects the vehicle's import. The file is designed to surface those gaps early, while there is still time to resolve them.
